Job Summary
We are looking for an experienced, proactive Project Assistant (PA) to work collaboratively with our team on specific short - and long-term projects. In this role, the PA will oversee tasks delegated by the project manager, coordinate with all partners, stakeholders, beneficiaries and service providers, and ensure that the project is moving forward on time and on budget. The PA will need to be highly organized, adaptable and able to prioritize tasks while working independently. The ability to motivate others and keep them on task in a positive and encouraging manner is also a must-have skill in this position.


Key Functions
• Provide administrative and operational support on implementation of the project(s);
• Follow-up, on a daily basis, with project partners, collaborators and contributors to guarantee smooth implementation of the activities;
• Provide logistical support for workshops, seminars and other related  meetings and events;
• Support the Management in project reviews, preparation and submission of progress reports, and/or any other required document;
• Process project-related travel arrangements.

Duties and Responsibilities
• Work jointly with the project manager and team to maximize productivity;
• Contribute to the entire project lifecycle with the whole team;
• Organize and monitor schedules and ensure that deadlines are met;
• Coordinate efforts within the team and with outside consultants, experts and trainers efficiently;
• Report updates verbally and in written form to Management;
• Complete any necessary administrative and/or financial tasks and help ensure resources are used efficiently;
• Help determine requirements and assign tasks to team members;
• Demonstrate commitment to stakeholders' needs and maintain continuous confidentiality.

Requirements and Qualifications
• Associate or Bachelor's Degree in a relevant field required;
• Additional certifications that demonstrate a desire for continued education preferred;
• Minimum of 3 years' relevant work experience in the NGO sector;
• Proficiency in English with exceptional communication and interpersonal skills;
• Keen attention to details and an aptitude for problem-solving;
• Able to proactively address potential issues;
• Excellent computer skills including experience with Microsoft;
• Significant hands-on experience with international donors;
• Ability to work with a wide cross-section of partners, including Government, INGOs  and private sector;
• Collaborative working style and team-player attitude;
• Positive and encouraging personality;
• Able to work independently with minimum supervision;
• Highly motivated with strong work ethics;
• Reliable, trustworthy, and committed to the team's success;
• Outstanding organizational skills and ability to prioritize tasks;
• Able to thrive in a high-volume, deadline-driven work environment.
