Project Assistant for EU Funded Project

Purpose of the Position
The Project Assistant provides operational and administrative assistance to the Project Manager and the Team. He/She performs a variety of administrative, coordination and logistical services in support of the operations of the Project. He/She helps in the implementation of the activities and events, and ensures that schedule, document control and quality standards are met, in addition to filing important documentation, setting up meetings, distributing project updates, and facilitating team communication.

Tasks & Responsibilities
• Provide administrative support and monitor all aspects of the projects’ documentation;
• Provide support in project reporting and administrative justifications;
• Monitor and assesse the work progress and status of deliverables;
• Update and maintain project records, assemble, distribute and archive project information;
• Develop and maintain an efficient filing system for the team;
• Organize team meetings including the preparation of documents and providing the necessary technical assistance;
• Assist in the coordination of the process by tracking completion of the activities;
• Coordinate logistical arrangements for workshops;
• Prepare training kits or information packages and send material to participants in a timely manner;
• Coordinate registration process and act as contact person for the participants;
• Maintain and regularly update travel plans and budget amounts.

Experience & Skills
• Previous working experience in EU funded projects;
• Minimum three (3) years of working experience in project assistant position;
• Experience in organizing meetings, workshops, seminars, trainings and conferences.

Education & Qualifications
• University degree in a relevant field;
• Fluent in English in both verbally and in written (Good command of French is a plus);
• Excellent computer literacy and skills Computer literacy (MS Office, especially MS Word, Excel, Power point);
• Strong organizational and communicational skills;
• Good presentation and organizational skills;
• Time management skills and ability to work under time pressure;
• Ability to work with deadlines.
